New Client: Onboarding Process

CREATING YOUR  CLIENT ACCOUNT AND BOOKING A 30-MINUTE CONSULTATION:

You should have received an email from TherapyPortal.com with an invitation to finish creating your client account. If you do not see it, please check your spam folder. If you use smart filters, it may have been filtered with emails sorted as newsletters or notifications. 

  • Important: To ensure that future emails from noreply@therapyportal.com are not lost in a sea of emails, please save the address and mark all emails from this sender as important. All email systems differ, so you may need to search how to do this in your system.

Click on the link in the email, then enter your birthdate, create a password, and agree to the site’s terms of use, which will then take you to the portal home page as pictured below. Select “Request Appointment”, then “View Available Times”.

Use “Previous” and “Next” to scroll through the weeks and select a time that works best for you. 

Although including a message is optional, you must indicate if you want a virtual appointment (in-person is assumed), then select “Submit Request”.

  • Important: While I offer both in-person and virtual appointments through Telehealth, I prefer in-person consultations if it can be arranged. Please book your in-person consultations on Monday, Tuesday or Thursday only! If you can only attend a virtual consultation, then you may book any day of the week.
  • Appointment openings within the next 24 hours will not be clickable. If there is a time you would like to use, please email me to see if I can accommodate you on short notice.
  • Note: The portal will indicate that you are booking a 1-hour Intake, but that will be changed to a 30-minute Consultation when I accept your appointment request.

Once I have had an opportunity to view and confirm your booking request, you will receive a confirmation email from appointmentreminders@therapyportal.com.

  • Important: Save this email address as well and mark all emails from this address as important.

The consultation is an opportunity to see if we are a good match – both in my expertise to assist you and your assessment of my style. If either of us believe we are not the right match, I may be able to provide a referral for a therapist who would more adequately meet your needs. AFTER THE CONSULTATION: CONTINUING THERAPY & MANAGING YOUR ACCOUNT:

If we have chosen to continue working together, your TherapyPortal account will be an integral part of managing your care. It is important that you bookmark your TherapyPortal home page for easy access. Your home page will provide a quick overview of pending messages, documents that need your attention, and upcoming appointments.

Before your next appointment, you will need to complete and sign some forms in TherapyPortal (you will receive a “New Document Request” email).

Regarding setting appointments, my clients generally fall under one of two categories: 1) I create ongoing appointments in the system for clients who prefer the same day and time each week, or 2) clients use TherapyPortal to book appointments as they fit into their changing schedule, in which your weekly appointments can be booked up to 6 weeks in advance.

  • Important: I offer virtual-only appointments on Wednesdays (no in-person appointments are available). While I provide both in-person and virtual appointments on Monday, Tuesday, and Thursday, I request that my virtual clients try to book on Wednesdays if at all possible.
  • After 2 cancellations or no-shows, I will request that you schedule appointments only one week in advance.

You can use your portal to cancel or reschedule appointments as needed – at least 12 hours in advance. 

You will receive appointment reminders via email and text, which can be adjusted in your portal settings. If you have opted for virtual appointments, this email will also contain the only link to your Telehealth appointment.

  • Important: Your link will not change, so bookmark your Telehealth appointment link for easy access in the future.

You can use the Messages tab in the portal to send secure messages related to your care. When I send you a secure message through the portal, you will receive a notification email to alert you to it. For security reasons, the contents of portal messages are not included in notification emails.

  • Important: Did you mark emails from noreply@ and appointmentreminders@thereapyportal.com as important? If not, do that now so that you do not miss important messages.

Making co-pay or out-of-pocket payments is easy using the Billing tab in the portal.

You can access your settings by clicking on the person icon in the top right corner, which will allow you to change your password, edit how you receive appointment reminders, or close your account. 

  • Important: Text reminders is turned on automatically, but you can opt out anytime by replying STOP.
